Human Capital Management Collection Snapshots

The Human Capital Management (HCM) collection snapshot tables were created to facilitate historical reporting of person (workers and affiliates), position, and appointment data. The snapshots capture the person, position, appointment, or related record as it appeared on last day of the accounting period. All users of the Human Capital Management data collection are welcome to use the snapshots; the standard data collection security applies to all queries of these tables as well.

Snapshots table names vary slightly from their source table, due to name length constraints:

  • The data goes as far back as the implementation of Workday Human Capital Management at Penn for the JUL-19 accounting period, in fiscal year 2020, and continues from that point, through the most recent closed period.
  • Since the snapshots capture data at the end of each period, data changes are picked up as they occur. These changes are not applied to previous periods, to preserve the accuracy of the snapshot as a view of the data at a point in time. There may therefore be cases where data (such as a birthdate) appears incorrectly in an early period, and appears correctly in later snapshots after it was corrected in the source system.
  • Following the retirement of PennWorks and the mainframe Personnel/Payroll system in July 2019, the legacy Salary Management collection and its snapshot tables will remain available for historical analysis.  Only select columns in the EMPLOYEE_SNAP table (and the EMPLOYEE_GENERAL_SNAP view) and the JOB_CLASS_SNAP table (and JOB_CLASS_SNAP will be updated with Workday data, to support longitudinal and cross collection reporting.
  • PennID updates are applied to all collection tables (the regular tables and their snapshots), so users can join properly on PennID over time.
  • Since HCM_WORKER_PAYMENT and HCM_WORKER_ENCUMBRANCE are designed to support filtering and aggregation by fiscal and calendar periods, there are no additional snapshot versions of those tables.

 

Human Capital Management (HCM) SnapshotsUniverse

A special Business Objects universe, Human Capital Management (HCM) Snapshots is available for querying the snapshot tables. The snapshot version is structured very similarly to the Human Capital Management (HCM) universe, with Fiscal_Sort_Seq included in the joins between the tables.

You can re-direct Human Capital Management (HCM) universe queries to the snapshot universe, so long as all the result objects and conditions from your query exist in the universe to which you'd like change. Follow the FAQ for guidance on switching a query to different universe.
