HCM_PERSON_V Table

Explanation
Contains most current available biographical and demographic information for Workers and Affiliates from Workday. The table includes employees who had Workday records as of July 1, 2019 or thereafter. There is one row per individual.

Common Uses
Retrieving biographic or demographic data on workers and affiliates (for example, name, primary position and appointment information, employment status, emergency contact information, gender, marital status).

Cautions
  • The HCM_PERSON_V table contains records for Workers (employees and contingent workers) and Academic Affiliates managed in Workday. Data will be most complete for Workers, and several columns will be null for Affiliates.
    • HCM_PERSON_V contains the latest available biographic/demographic data for the individuals whose records are managed in Workday, which came into use on July 1, 2019. For employees with Workday records as of that date, matching biographic/demographic information appears in both DWHCM.HCM_PERSON_V and DWADMIN.EMPLOYEE. (The EMPLOYEE table includes employees who had legacy mainframe Personnel/Payroll records on or after July 1, 1996. Data for current employees is loaded to the EMPLOYEE table to support downstream or cross-collection queries dependent on that table. For employees with Payroll records prior to July 2019, biographic/demographic data is available in the EMPLOYEE table only.)
  • The presence of a record in the HCM_PERSON_V table does not imply the individual is an active employee. Refer to columns such as Employment_Status, Employee_Status, Worker_Type, Affiliate_Flag, and Retiree_Flag to determine the type of individual and current status.
    • In general, Retirees will appear as terminated Workers, including Emeritus faculty
    • Some Affiliates may also have terminated employee status if they were employed as Workers in the past.
    • Once a person has been terminated and is therefore no longer occupying a position, elements related to the primary position will likely be null - this includes the PRI_PENN_COST_CENTER. When the PRI_PENN_COST_CENTER is null, you will no longer be able to see those elements with ORG-based security (e.g., birth date, gender, and others listed below). You may need to consult HCM_PERS_SNAP_V for information about that person when she or he was active.
  • Primary Position and Primary Academic Appointment values are determined by data in Workday. In cases where an indvividual holds more than one position, and/or more than one academic appointment, the primary of each is based on the designation in Workday, and not any additonal logic (unlike the legacy systems, where primary appointment were calculated upon load to the Warehouse).
    • For faculty workers, appointment records are generally, but not always, related to a position (available in HCM_POSITION). In cases where the the Primary Academic Appointment is not related to a position, the Primary Position_ID and Primary Job_Profile-related values will be null.
  • Penn_ID should be used to uniquely identify records in HCM_PERSON_V, and to join HCM_PERSON_V to other tables in the Warehouse. Workday ID is an 8 digit field for workers and affiliates unique to Workday.  It is distinct from the Penn ID, which has the same format, but is maintained by Penn Community and is the unique identifier for individuals across Penn’s systems.
  • Keep in mind that this is the latest information about an individual with records managed by Workday - the HCM_PERSON_V table does not keep longitudinal history. Historical snapshots of this information are available in the HCM_PERS_SNAP_V table, beginning with the JUL-19 period.
  • The HCM_PERSON_V table is available to all users of the data collection
    • Specific columns require access to PRI_PENN_COST_CENTER on the row to view values; all other users would retrieve nulls: Alien_Auth_to_Work_Exp, Birth_Date, Date_of_Death, First_Day_of_Leave, Gender, Last_Day_of_Leave, Marital_Status, On_FMLA_Leave_Flag, Pri_Emer_Contact* (6 fields of contact information), Termination_Reason, US_Citizen_Flag, US_Employ_Veri_Status
    • Additional specific authorization is required to view:
      • SSN, SSN4
      • Hispanic_Latino
      • Military/Disability columns - Disabled_Flag, Protected_Veteran_Flag, Veteran_Separation_Date
