FUND_CODES_HISTORY Table

Explanation
Contains historical information on funds, which are unique identifiers for specific sets of financial resources that need tracking or management. Fund data available includes description, purpose, responsible organization, principal investigator, fund sponsor, fund restrictions, financial reporting requirements, ORA review information, revenue restrictions, and billing information.

Common Uses
Tracking historical changes in fund codes records.

Cautions

  • This table contains historical information for a fund. To view the current record for a fund, use the FUND_CODES table.
  • There may be multiple rows for a given fund, as this table stores a snapshot of the fund record as it appeared at the time of the extract to the Warehouse. Note that the table stores only the latest value of fund attributes -- it does not represent changes over the course of one day. Therefore, the LAST_UPDATED_BY column displays only the last user to update the fund record in the day. To sort all rows in chronological order, be sure to use a date format that includes time specification.
  • When reporting the name of a fund, you may use the 30-character FUND_DESC, or the 70-character FUND_LONG_DESCRIPTION.
  • PI_NAME is the name of the investigator responsible for the use of the fund, if the fund is used for a sponsored project. (The value will be null for other funds.) Note that PI_NAME is usually the same as the name of the principal investigator for the entire sponsored project, but not always. In cases where money for a project is split among more than one fund, different investigators may be responsible for different funds.
  • Not all funds are currently active in BEN Financials. If the value for Enabled is 'Y', the fund code may be used in BEN Financials transactions. If the value for Enabled is 'N', the fund code may not be used in BEN Financials transactions after the END_DATE.
  • Although a fund might be currently active in BEN Financials, it might not be allowed for budget journal entries or manual journal entries. Check BUDGET_ENTRY_ALLOWED and POSTING_ALLOWED.
  • Fund use may be restricted by the donor or by the University. For information on restrictions, see DONOR_RESTRICT_ORG, DONOR_RESTRICT_PROGRAM, DONOR_RESTRICT_OBJECT, PENN_RESTRICT_ORG , and PENN_RESTRICT_PROGRAM.
  • The FUND_CODES.ADJ_PERIOD_END_DATE column is updated with any changes to either the ACCOUNT_END or DAYS_TO_SUBMIT_FINAL_REPORT_CODE for the fund. There may therefore be discrepancies between data in this column and that stored in the column of the same name in the FUND_FREEZE and FUND_FREEZE_HISTORY tables, which is updated with any new freeze action.
  • When reporting on the Organization related to a fund, note that the FUND_RESPONSIBLE_ORG is the organization responsible for managing the fund. The INTERNAL_DESGINATED_CODE is the organization responsible for setting University restrictions on how the fund may be spent.
  • When selecting funds based on sponsor, be sure to select the data element that meets your needs. FUND_SPONSOR_CODE is the 5-character code currently used to identify the sponsor. (Its source is the SPIN module of PennERA, used at Penn since August 25, 2003 to track information on sponsors of projects.) LEGACY_FUND_SPONSOR_CODE is the 4-character code formerly used to identify the sponsor in the General Ledger. LEGACY_FUND_SPONSOR_CODE is currently used only by BRIM (the Billing and Receivables Information Management system used by the Office of Research Services).
