The last date when the Fund Code may be used to track financial activity for the sponsored research project. Depending on the sponsor's financial reporting requirements, the same Fund Code may be used throughout the time for which the sponsor has made award for a project (the funding cycle, usually one to five years) or only for the Budget Period. See also ACCOUNT_START and CURRENT_BUDGET_END. (Unlike CURRENT_BUDGET_END, ACCOUNT_END does not necessarily change as additional funding increments are received.)

Account End is stored in the Warehouse in date format. In Business Objects, it is displayed as specified in the desktop operating system settings. It is recommended that users specify a date format that includes 4 digits for the year. (To specify the date format in Windows 95, choose Regional Settings of the Control Panel, select the Data tab and specify Short date style. In Windows, use the International option of the Control Panel. On the Macintosh, use the Date & Time Control Panel.)

Before Oct. 1, 2000, this data element was known as Project_End_Date. While the contents have not changed, the data element was re-named as part of a project to standardize the date terminology used in sponsored research administration.

BUDGET_PERIOD_BEGIN_DATE

The beginning date for the budget period for the funding increment to the fund (FUND_CODE).

Each time the sponsor pays an installment of the award (or guarantees payment), that installment is a funding increment. Each funding increment has a budget period, a discrete period of time for which a fund sponsor has committed funds that can be expended by the University for an agreed upon purpose. Budget period begin dates are calculated based on the end date of the previous budget period, the account start date (if there is no previous budget period), or the end date of the same budget period (if the contract start date is problematic--for example, if it is null). When calculated based on the end date of the previous budget period, the budget period begin date is set to the first of the month following the month when the previous budget period ends. For example, if the first budget period ends Feb. 15, 1998, the second budget period begins Mar. 1, 1998.

BUDGET_PERIOD_END_DATE

The end date for the budget period for the funding increment to the fund (FUND_CODE).

Each time the sponsor pays an installment of the award (or guarantees payment), that installment is a funding increment. Each funding increment has a budget period, a discrete period of time for which a fund sponsor has committed funds that can be expended by the University for an agreed upon purpose. The value of the BUDGET_PERIOD_END_DATE may change over time. If the fund sponsor grants a no cost extension or a funded extension, the current budget end date, account end date, and budget period end date will be changed to reflect the extension.

Another situation in which the value for BUDGET_PERIOD_END_DATE may change is when a fund has many budget periods. BEN Financials only retains 5 budget periods. As a project enters periods beyond the fifth, the second is appended to the first, the third assumes the place of the second, the fourth that of the third, the fifth that of the fourth and the current (new) period becomes the fifth. For example, at the end of a seven-year award, the earliest budget period would actually encompass the first three years.

Budget period end dates for non-government sponsored research may also be changed to facilitate reporting and the management of funds given the mutual agreement of Research Services and the school or center responsible for the fund.

However, the budget period end date remains unchanged if the fund sponsor grants supplemental funding for an existing budget period (that is, the sponsor grants more money but not more time). And if the fund sponsor grants a non-competing renewal, a new budget period is created.

Example: 1 (latest, most recent, or future budget period); 2 (previous budget period). Note: if the the value for BUDGET_PERIOD_REV_CHRON_SEQ is 1, it does not necessarily mean that the budget period is current--it might have already ended, or it might not have begun yet.

The value should be null if the FUND_CODE value does not start with ‘5’.
