The career associated with this degree. A career may be a portion, or it may be all of a student's academic history at the University of Pennsylvania. Generally, a career corresponds to that portion of a student's academic record that appears on a single transcript and is associated with the academic program in which the student is enrolled. A student may pursue several careers at the University, and each career will appear on a separate transcript. For example, a student who has completed an undergraduate career may come back later and pursue a degree as a Master's or PHD or professional level career.

Note that coursework can count toward multiple careers. For example, a student who is submatriculating can have courses that count towards both the U and the graduate career.

Career Tracking Flag

From the Academic Program Summary (APS), this flag determines whether or not to allow automatic career tracking for Masters-to-PhD and PhD-to-PhD careers. By default, coursework in research Masters degrees tracks to the transcripts of the PhD. Similarly for multiple PhD careers, the coursework can track to the same transcript. The autotracking is controlled by an internal SRS system table. For students who should not have their graduate careers track into each other, this flag can be set to 'N' in SRS, indicating an override to the autotracking. The flag is set on the "receiving" end, in other words, the flag means "do not track coursework from other careers into this career."

Note that because this field is based on accumulation of credit, it does not necessarily reflect the student's year-in-school. A student who takes a heavier-than-normal load of courses, or who has many AP/transfer credits, may be classified in a higher "year" than their actual year-in-school.

The Cohort flag provides a way (in addition to classification) for divisions to group students within an academic program.

Note that there is no standard definition for the use of any cohort value: the schools and divisions use this data element internally, and each has their own definition of what it means to them. For example, for the Nursing School, the values B, I, and F are used for the Accelerated Nursing program:
B = BSN/MSN (means they applied to both the BSN and MSN at the same time)
I = 2nd Degree (applied only to the BSN)
F = RN Return (have an RN, but not a BSN)
and C applies to Nursing submatriculants. However, these same values can mean something completely different to other schools.

For example, a student pursuing a PHD may be awarded an AM instead, and they never continue on towards a PhD. In such cases, the AM will appear in this column once it has been awarded. This will only be true if the student received the masters and never continued on with any PhD work. In such cases, there is only one APS row in SRS.

Note that if the student received a masters along the way to a PhD, and intended to continue with the PhD, there usually are two separate APS records in SRS. The masters is usually put on one SRS record and the other is the continuation of the PhD. In such cases, the masters will not appear in the degree awarded column in the degree pursual table.

The degree that the student is pursuing. A student may pursue more than one degree at a time. A degree is an academic title pursued through a division of a school. For example, students can pursue a Bachelor of Arts degree through the division of The College of Arts and Sciences; students can pursue a PHD through the Graduate division of Arts and Sciences. Both divisions are within the same school, but the College does not grant PHDs and GAS does not grant BAs.

Students can pursue more than one degree at the same time. Such students will have a value in thier Dual_Degree_Type in the DEGREE_TERM_ALL_V table.

Division

AA610 DIVISION

The division associated with this degree pursual for this student. A division is an administrative sub- unit of a school. Schools at Penn can be composed of one or more divisions. A division oversees students as they pursue degrees within that division.

Examples of Division code include CGS (College of General Studies), NUR (Nursing Undergraduate), GFP (School of Design Graduate)and GEX (Engineering and Applied Science Executive).

Divisions can be associated with more than one type of degree. For example, CGS grants BA and MLA degrees.

While students can pursue multiple degrees from the same division, students can only pursue one type of degree from the same division at the same time. For example, a student cannot pursue two masters degrees from GSE simultaneously.

Students can be matriculated into more than one division at the same time. Such students will have a value in thier Dual_Degree_Type in the DEGREE_TERM_ALL_V table.

DP_LINK_ID system-generated number Primary key for DEGREE_PURSUAL_ALL_V. This is an internal index column, used to join the related term records back to the appropriate degree pursual. It is re-generated each time a student's records are refreshed from SRS, and the old value over-written. See also DP_LINK_ID in the DEGREE_TERM, DEGREE_RECEIVED, MAJOR_MINOR_TERM, ASSIGNMENT, HIATUS, and INTERNAL_COURSE_EQUIV tables.
Earned_Credit

calculated from Total Credits and Equivalent Credits, as appearing on SRS screen 118

Indicates the total cumulative credit that the student was awarded to date for successful completion of enrollments for this degree pursual. Not every completed course section contributed to Earned_Credit. Certain grades do not earn credit, for example, XX,XC, NG, and AUD. This does not include the amount of Total_Penn_Eqvlnt_Credit in the DEGREE_PURSUAL_ALL_V Table.

Note: DT is the exit action used in the warehouse when someone transfers to a different degree program within the same division without an actual exit of 'transfer'. In SRS, this shows up as just one Academic Program Summary with the latest degree program, but at the term level there are different degrees in different terms -- all under the same Academic Program Summary. When the data are extracted to the warehouse, because of the relational structure that joins a degree pursual to a degree term, the first degree-related data would be "orphaned" from it's corresponding degree pursual. So, in the warehouse, we scrub the data and give the first degree program an exit of DT and open the second with an entry of DT. See also Exit_Action.

Note: the entry action of CP, Continuing PhD Student, will not be displayed in DEGREE_PURSUAL_ALL_V. This entry action is used for PhD students who received a Master's degree on the way to getting

CAUTIONS:

DT is an exit action used only in the Data Warehouse, and not in SRS. In SRS, when a student changes their degree pursual within the same division the APS does not close. The relational structure of the tables in the Warehouse makes it necessary to distinguish between the different degree pursuals, even when they are within the same division. See also Entry_Action.

SRS exit actions of LV, AL and FL do not appear on any record in DEGREE_PURSUAL_ALL_V; the exit remains null even when the student is on leave; the LEAVE_FLAG is changed to "Y".

There is no exit of EG (expected graduation) in the warehouse. Degree Pursual records of students who have not exited and have not yet graduated will have a null exit, instead of the SRS exit action of EG.

Exits of AL (administrative leave), FL (leave with Library access), LV (leave of absence) are not recorded in DEGREE_PURSUAL_ALL_V; students on any of these types of leave will have their Leave_Flag set to 'Y'. See the LEAVE table for details on student leaves of absence.

Exit_Term

Penn divides the academic year into 3 terms or semesters: Fall,Spring, and Summer. Terms are designated by the 4-digit calendar year, followed by a term code. The Spring term code is A, the Summer term code is B, and the Fall term code is C.

Example: 1995C means Fall 1995, 1996A means Spring 1996, 1996B means Summer 1996

Penn_Id appears on SRS screen 103

The 8-digit identification number assigned to the student when their record was created in the PennCommunity database. No two persons have the same Penn_ID. Only persons affiliated with the University will be assigned a Penn_ID.

Penn_ID is not stored in SRS, but can be used on screen 103 to look up a student. It is populated in the Data Warehouse from a extract from PennCommunity.

Note that because the SSN is still the record key in SRS, it is possible for two records to accidentally get created in SRS with different SSNs, for the same person. When this happens, there will be two different records in the Data Warehouse with the same PennID. Please report all PennID duplicates to either Data Administration, or the Office of the University Registrar.
