CEN_STDT_BIO Table - Data Element Index

Academic_Eligibility Indicates whether the student is eligible to register for the current academic program for this term and in subsequent terms based on active registration holds. For example: Y, the student is eligible to register.

Values:

Y    Yes student is eligible to register
N    No, student is not eligible to register
YM   Yes, student is eligible to register (manual override)
NM   No, student is not eligible to register (manual override)
Birth_Date The student's date of birth.
Birth_Place The city, state, and country of student's birth. For example: Camden, NJ, USA. This data is not required and therefore may be incomplete.
Country_Of_Citizenship

The student's country of citizenship if other than the United States. Null and US means United States. For example: FJ (Fiji).

County_Of_Origin
The student's county of origin, for Pennsylvania residents only. For example: MTG (Montgomery County).

It is common for graduate students to indicate a Pennyslvania county of origin even if they are not Pennyslvania residents.

Dissertation_Term_Count
Number of terms that student in a PHD academic program has been on dissertation status. The number ranges from 00 to 99. For example: 08, the student has been on dissertation status for 8 terms.

Email_Address The student's electronic mail address as reported by the school of the student's primary academic program. For example: benfranklin@wharton.upenn.edu.
Final_Phd_Exam_Date

The date on which a PHD candidate passed the final PHD exam.
Fraternity_Sorority Indicates if a student is a member of a fraternity or sorority.

Penn_ID

The unique 8-digit identification number assigned to the student, from the PennCommunity database.

The value in the Penn_ID column in CEN_STDT_BIO is the person's PennID at the time of the Census snapshot identified on the same row. The value in the person's "Current PennID" object in Business Objects is the person's Penn_ID as of the latest nightly load of data to the warehouse. For most students, the two columns will contain the same ID. If a student's Penn_ID changed, the "old" Penn_ID will remain in the snapshots. In these situations, the Current Penn_ID may be a useful reference, for looking up that student in other data collections.

Please report any duplicate records to either Data Administration, or the Office of the University Registrar.

Preliminary_Phd_Exam_Date The date on which a PHD candidate passed the preliminary qualifying exam
Previous_Name Identifies a student's most recent previous name. This data element has a value when a student has had two or more name changes. For example: a student's name is changed from Jane Doe to Jane Smith to Jane D. Smith. Jane D. Smith is now stored in Name, Jane Doe is stored in Initial_Name, and Jane Smith is stored in Previous_Name.

The CEN_STDT_BIO Table can contain up to four names for a student: Name, Initial_Name, Previous_Name, and Long_Name. Name, Initial_Name, and Previous_Name help track over time changes to a student's name. This includes typographical corrections as well as actual name changes.

Name always stores the student's most recent name. If no changes are made to a student's name, Name remains as is and Initial_Name and Previous_Name are null.

If one or more changes are made to a student's name, Initial_Name will always contain the student's name as first entered into SRS. For example: a student's name is changed from Jane Doe to Jane Smith. Jane Smith is stored in Name and Jane Doe, the name first entered into SRS, will now be stored in Initial_Name.

Religion Identifies a student's religious preference or affiliation. For example: the student is affiliated with FR (Society of Friends).

Restrict_All_Addresses Indicates whether a student has restricted his or her address information from release to persons outside the University. These addresses are local, billing, and permanent. For example: null means the student has placed no restriction on releasing address information.

Restrict_Attend_Dates Indicates whether a student has restricted his or her dates of attendance at Penn from release to persons outside the University. For example: null means the student has placed no restriction on releasing dates of attendance.

Restrict_Awards

Restrict_Honors

Indicates whether a student has restricted the honors he or she has received at Penn from release to persons outside the University. For example: null means the student has placed no restriction on releasing his or her honors.

Restrict_Local_Address

Restrict_Previous_Institution
Indicates whether a student has notified the University to restrict the institutions he or she has previously attended from release to persons outside the University.

Restrict_Sports Indicates whether a student has notified the University to restrict the sports in which he or she has participated from release to persons outside of the University.

Restrict_Weight_Height_Athlete Indicates whether a student athlete has notified the University to restrict his or her height and/or weight from release to persons outside the University.

[Null]     The student has not notified the University to restrict his
           or her height and/or weight.
Y          Yes, the student has notified the University to restrict his
           or her height and/or weight from release to persons outside
           the University.
Sex The gender of the student. For example: M (Male).

Srs_Ethnicity

A student's most recently reported ethnic identification. For example: S (Hispanic).
Srs_Previous_Id This student's previous identification number. When a student receives a new student Id number, this data element contains the old Id number. For international students, this Id may be assigned by the Office of the Registrar or the Records Office of the student's school until the student becomes a resident alien and reports the Social Security Number assigned by the US government. If the student Id has never changed, this data element is null. This is a 9-digit numeric character without dashes, for example, 777777777
Ssn The student's Social Security number; currently used by Penn as the student's identification number. A Social Security number is a unique number assigned to an individual by the federal Social Security Administration. This is a 9-digit numeric character without dashes, for example, 777777777. For foreign students and students who have requested not to use their Social Security number, this number is assigned by Penn.
State_Of_Residency The state the student last reported as his or her state of residency. Originally obtained from the student's application, this data element may be updated by the student while enrolled at the University. This data element may be null. It is not necessarily the state indicated in the permanent address.
Term The term, as of the Census Date, for which this data is valid. Penn divides the academic year into 3 terms: Fall, Spring, and Summer. Terms are designated by the 4-digit calendar year, followed by a term code. The Spring term code is C, the Summer term code is B, and the Fall term code is C. For example: the information is valid for 1995C (the 1995 Fall term).
Title Salutation used in association with student mailings. If no salutation is specified but the student's gender is indicated in the Sex data element, then MR is assigned for males and MS for females. If Title is null and Sex data element is null, then no salutation is provided. Title is in uppercase letters with no periods. For example: MR or MS

Veterans_Benefit_Expire_Date
The expiration date of the student's Veterans Benefits.

Date formats in the Warehouse depend on the query tool you are using (Business Objects, GQL, SAS, SQL*Plus) and/or the settings you have established for formatting dates on your computer. For example: dates in Business Objects with Windows 3.1 may be presented in the mmddyy format with a slash (/) separator, e.g. 5/31/96. To check date formats: Macintosh users: from the Apple menu, select "Control Panels" then choose "Date&Time". Windows users: select "Control Panel" then choose "International".

Veterans_Benefit_Type
The type of Veterans Benefit for which this student is eligible. For example: 30 (the student is eligible for Veterans Benefit Chapter 30).
