ADDRESS Table - Data Element Index

NOTE: The restriction flags on this table come from the Online Directory; they are not associated with any data shown on SRS screen 11.
Data Element Mapping back to SRS Definition
Address_Type n/a A calculated 1-character alphabetic code that indicates the type of address record. A student may have multiple address records; this field shows which address the record contains.
In the Summer of 2020, the address type formerly labeled as "Temporary" was re-named the "Learning From" address. Until further notice, students enrolled in the Fall of 2020 and beyond will be required to provide a "Learning From" address, using the Penn InTouch application. The "Learning From" address provides the University with an appropriate and up-to-date location for students who may be attending school remotely.
Also in the Summer of 2020, the address type formerly labeled as "Billing" was re-named the "Diploma" address. This address provides students with the ability to tell the University where they would like their diplomas mailed when they graduate.

Values:

B - Diploma address
C - Current address
L - Local address
P - Permanent address
T - Learning From address

Address types of L and T will be extracted only if the address has an expiration date that is blank or greater than the current system date. It is possible for a student to have an expired Local address or expired Temporary address in the warehouse (the passing of an expiration date does not trigger that student's record to be re-extracted) but each time the student's record is extracted, the Local and Temporary addresses are re-evaluated.

Address_Type C is a calculated value: If the student has a Learning From address, and the system date falls within the start and end date range of the Learning From address, then the Learning From address is assigned to Address_Type C
Else If the student is an undergraduate student and the system date falls within the start and end date range for the summer term (May 1 through August 31), then the Permanent address is assigned to Address_Type C
Else If the student has a local address and the system date is less than the expiration date of the local address then local address is assigned to Address_Type C
Else If the student has a permanent address, then the permanent address is assigned to Address_Type C
Else If none of the above apply, then the student's Diploma address is assigned to Address_type C.

Campus_Address_Type AA154 LOCAL ADDRESS TYPE
NATURAL ALIAS: LO-TYP-BIO
Appears on screens 003 and 005.

A code that indicates the type of local (L) address for the student. A local address can be an off- campus address, a residence hall address, an academic department address, or a fraternity/sorority address. The value is null for all other address types.

Values:
[NULL] Off-campus address
A - Fraternity/Sorority address
D - Department address
R - Residence hall

Campus_Mail_Code

  For on-campus addresses (fraternity/sorority, department, and residence hall addresses), the 4-digit code associated with the building. This is the University mail code. This is a calculated column, derived from the zip plus four extension. Note: in BusinessObjects, the object that refers to this column is named simply "Mail Code."

The abbreviation of the country of the address. An asterisk (*) next to the value indicates that the value may be contained in the data, but is no longer a valid input entry into SRS. For example, CZ is the value for the Czech Republic. CS is the value for what was known as Czechoslovakia. While CS cannot be entered into SRS, students whose address was in Czechoslovakia will have the value CS in the country code. The asterisk is not part of the actual value.

Cautions:

There is no Country for Local Address. The Country will usually be a blank value for addresses in the United States. Foreign addresses should always have a data value in Country.

First_Name This is a calculated column, parsed from AA010 STUDENT NAME
The student's first name. It is the first word of the student's name. Sometimes a compound name is hyphenated, for example, MARY-ANN. The name is in uppercase letters.

Last_Activity_Date
n/a
The date this record was downloaded via the SRS extract process and loaded into the Warehouse. This information is stored in the Warehouse in date format. (Note that this is not the SRS "last maintenance date" for bio/demo data.)

A date in MDY format with a slash (/) separator for example, 5/31/95.

Last_Name This is a calculated column, parsed from AA010 STUDENT NAME
The student's last name. It is the last word(s) in this student's name unless it is a recognized suffix. Hyphens may appear. The name is in uppercase letters.

Example: For JOHN H DOE JR, DOE is the last name.

Middle_Name This is a calculated column, parsed from AA010 STUDENT NAME
The student's middle name(s) or initial(s). It is the second and succeeding words of the student's name. The system does not distinguish between a 2-word first name and a first name and a middle name. Sometimes, the student's middle name is only an initial with no period. The name is in uppercase letters.

Example: For MARY ANN DOE, MARY is the first name; ANN is the middle name For MARY A DOE, MARY is the first name; A is the middle initial with no period

Penn_Id appears on SRS screen 103

The 8-digit identification number assigned to the student when their record was created in the PennCommunity database. No two persons have the same Penn_ID. Only persons affiliated with the University will be assigned a Penn_ID.

Penn_ID is not stored in SRS, but can be used on screen 103 to look up a student. It is populated in the Data Warehouse from a extract from PennCommunity.

Note that because the SSN is still the record key in SRS, it is possible for two records to accidentally get created in SRS with different SSNs, for the same person. When this happens, there will be two different records in the Data Warehouse with the same PennID. Please report all PennID duplicates to either Data Administration, or the Office of the University Registrar.

Personal_Use_Phone AA95N PHONE 4 (OTHER)

The area code, exchange and 4-digit subscriber number of the student's "personal use" phone number. Stored separately from local phone in SRS and the warehouse, "personal use" phone can be updated by students via InTouch, and if available will replace local phone in the Directory. Personal_Use_Phone will only be populated in the warehouse for Address_Type "L". For all other address types, Personal_Use_Phone will be null.

Based on current Directory rules, all student local and permanent addresses, email addresses, and phone numbers are restricted from being released outside of the University. Student contact information may be used internally for the purposes of conducting University business only.

Restrict_Address_Penn

This data element come from the OnLine Directory, and not from SRS.

Restrict_Name

This data element comes from the Online Directory.

Indicates whether a student has notified the University to restrict his or her name from release to persons outside of the University.

Values:
N - The student has placed no restriction on this information.
Y - Restricted. Do not include this data in your query unless it for use by someone with an official University affiliation.

If you see a student with a NULL in this column, it is because they are inactive and their restrict_name was not populated from the Online Directory and there was no previous restrict flag to load from SRS.

Restrict_Name_Penn This data element come from the OnLine Directory, and not from SRS.

Indicates whether a student has notified the University to restrict his or her name from release to anyone.

Values:
N - The student has placed no restriction on this information.
Y - Restricted. Do not include this data in your query unless it for use by someone with an official University affiliation, who needs it in order to do the business of the University.

The SSN appears in the context line of all SRS screens that contain student-specific data.
The Social Security number of this student. A Social Security number is a unique number assigned to an individual by the federal Social Security Administration. In SRS, the SSN is used as the unique Student ID, and is the record key to all files containing student-specific data.

Cautions:
The SSN should never be openly displayed on any report or included in any dataset intended for public consumption. In addition, the SSN should not be included on any report or dataset that will be given to persons who do not have an explicit need to know in order to perform their job for the University.

AA027 STUDENT TITLE
NATURAL ALIAS: STITLE-BIO
Salutation used in association with student mailings. This field is never null. That is, if a salutation has not been specified, MR is assigned for males and MS for females. The title is in uppercase letters with no periods.
