GA_SCHOOLS Table - Data Element Index

note: in the Business Objects Grad Admissions Reporting universe, the data elements in this table are found in the Academic History class.

 

Data element Definition
Applicant_ID

An identifying number, assigned by the Graduate Admissions system, to each applicant. This column cannot be null.

When an applicant is admitted and matriculates to Penn, the Applicant_ID is loaded to the Student Records System along with their other biographic, demographic, and academic information.

Note that to uniquely identify rows requires both the Applicant_ID and the Record Source.

Begin_Date A date in MM/YYYY format, this indicates when the applicant began their study at the previous institution.
City The city associated with the official address of the institution where the applicant previously attended.
Country The country associated with the official address of the institution where the applicant previously attended. This is often the 2-character code for country, but the Country column in this table also contains some records with free-form, un-validated text for the country name.
Date_Received_at_Penn The Date this institution's transcript was received by the Admissions Office.
Degree_Conferred A free-form text field that specifies whether the applicant received a degree at the previous institution, and if so, what it was. A 'N' in this column indicates the student attended, but did not receive a degree. A 'Y' in this column presumes the student received the degree found in the Degree_Pursued column. Otherwise, the text for the actual degree received will be in this column, in un-validated format, for example, BS, B.S., B.Sc. all could mean the same degree.
Degree_Pursued A free-form text field that specified the degree the applicant was working towards while at the previous institution. The text for the degree is in un-validated format, for example, BS, B.S., B.Sc. all could mean the same degree
End_Date A date in MM/YYYY format, this indicates when the applicant ended their study at the previous institution.
GPA The grade point average that the applicant indicates they achieved at their previous institution. This is self-reported data and is in un-validated format.
GPA_Scale The grade point average scale, as reported by the applicant, if available. For example, a GPA_Scale of 4.0 indicates that the data in the GPA column will be in the 4.0 scale where 4.0 is A, 3.0 is B, 2.0 is a C, etc.
Graduation_Date The date the applicant received the degree from the previous institution. This is not always the same as the End_Date. If the value in Degree_Conferred is 'N' the Graduation_Date will be null. Graduation_Date is in free-form, unvalidated format.
Institution_Code A code that uniquely idenfies a record in the Institution lookup table. Beginning in 2012, this will be the ETS code, and will be consistent with the codes used for institutions in the Student Records System.
Level_of_Study Indicates the applicant's level of study -- baccelors, masters, doctoral, etc. -- at their previous institution. Beginning in 2012, there will be a set of valid values for this field. However, historically this was free-form text, and values varied widely. For example, 'Bachelors degree' 'Undergraduate Degree' and 'Bacc' all could mean the same level.
Major A free-form text field that specifies the applicant's major at their previous institution.
Name The name of the school, college or university where the applicant previously attended.
Province The province associated with the official address of the institution where the applicant previously attended. For non-US addresses only.
Rec_Number

A single digit numeral, used to sequence records for the same applicant, when the applicant submits more than one previous academic institution's information with their application. The Rec_Number is a sequence based on how the data were entered in the source system, and does not necessarily indicate a priority order. It is simply a way of keeping track of multiple prior institutions for an applicant. For example, if an applicant reported attending four prior colleges or universities, there would be four records in this table for the applicant, with Record Numbers 1, 2,3, and 4 respectively.

Note: in the Business Objects Grad Admissions Reporting universe, this is called "Inst Record Number (AH)."

Record_Source For records that come from the Apply Yourself system, Record_Source will have a value of 'AY.' Schools not participating in AY will have a record source of the school or division code.
School The AY code for the school to which the applicant applied.
US_State The state associated with the official address of the institution where the applicant previously attended. For US addresses only. This is usually the 2-character code for state, but the field does support free-form un-validated text.
Zip The zip or postal code associated with the official address of the institution where the applicant previously attended. Contains codes for US and also non-US addresses.
